What is an XLSX file?

Learn what an XLSX spreadsheet file is, how its zipped XML structure works, and how to open, repair, and convert your data tables securely in your browser. Free XLSX converters included.

Microsoft introduced the XLSX format in 2007 as part of the Office Open XML specification to replace the legacy binary XLS container. Earlier spreadsheet files relied on proprietary binary code that suffered from frequent corruption, poor interoperability, and bloated sizes. By standardizing the format under ECMA-376 and ISO/IEC 29500, developers gained an open standard that any software could parse reliably. Today, XLSX serves as the primary data storage standard for computational workbooks, allowing you to store structured tabular records, dynamic mathematical formulas, chart definitions, formatting rules, and multi-sheet layouts within a resilient architecture.

Under the hood, an XLSX file is not a single flat document but a standard ZIP archive containing a structured collection of XML files and media assets. When you save a workbook, your data splits into individual XML components for shared text strings, worksheet cell grids, styling parameters, and relationship mappings. The internal Deflate compression algorithm drastically shrinks these text files, typically producing a file footprint roughly one third the size of an uncompressed CSV containing identical data. This package architecture ensures that if one component experiences corruption, you can still extract the remaining worksheet data without losing the entire workbook.

You encounter XLSX files across virtually all business environments, academic institutions, and data engineering pipelines. Modern desktop applications like Excel and LibreOffice, cloud suites like Google Sheets, and mobile productivity apps on iOS and Android all provide native read and write capabilities. In programmatic workflows, popular development libraries across Python, JavaScript, and Java can generate and parse XLSX structures without requiring office software installed. Whether you are reviewing quarterly financial ledgers, maintaining inventory databases, or preparing automated dashboard feeds, XLSX provides the universal standard for cross-platform data exchange.

Developed by / year Microsoft, 2007 (ECMA-376 / ISO 29500)

When to use it

  • Choose this format when you need to store multiple interconnected data sheets with cell formulas, number formatting, and visual charts in a single workbook.
  • Choose this format when you want to reduce storage consumption for large data tables using built-in ZIP compression without losing cell metadata.
  • Choose this format when you collaborate with colleagues who require formatted spreadsheets that retain cell highlights, borders, and column widths across different operating systems.
  • Choose this format when you build analytical workbooks that depend on native data validation rules, dropdown filters, and complex mathematical calculations.

When not to use it

  • Avoid this format when feeding raw data into high-speed database ingestion pipelines or command-line scripts, and use plain text CSV instead for faster parsing.
  • Avoid this format when publishing read-only documents or financial statements where exact visual layout and print pagination must remain locked, and use PDF instead.
  • Avoid this format when automating macros or custom visual scripts, and use macro-enabled XLSM instead because standard XLSX strips executable code for security.

Common problems

Excel displays an error stating the file is corrupted and cannot be opened.

Rename the file extension from .xlsx to .zip and extract its internal folder structure using your operating system archive utility. Navigate to the xl/worksheets directory to recover your raw data stored inside the sheet1.xml file, or convert the spreadsheet to CSV using a browser-based conversion tool.

Leading zeros in zip codes or phone numbers disappear when opening the file.

Spreadsheet applications automatically format numeric entries as general numbers, which strips leading zeros upon calculation. To resolve this, format the affected column explicitly as Text before entering data, or use a delimiter-fixing tool to preserve quotation marks around string values.

The workbook takes an unusually long time to open and consumes excessive memory.

Excessive file bloat usually occurs when blank rows or columns contain invisible styling or leftover calculation ranges. Select the empty rows below your dataset, delete them entirely, and save the workbook to reset the active cell boundaries.

Formulas return calculation errors after sharing the file with another user.

This problem happens when formulas reference external local paths or localized function names that differ across language settings. Replace localized function formulas with universal standard syntax and convert dynamic links to static values before distributing the document.

Frequently asked questions

What is the maximum row and column limit in an XLSX worksheet?

A single XLSX worksheet can hold exactly 1,048,576 rows by 16,384 columns (column XFD). If your dataset exceeds these limits, you must split your records across multiple sheets or export to a raw database format.

Can XLSX files carry dangerous macros or malicious scripts?

No, standard XLSX files cannot store executable VBA macros by specification. If a workbook requires macro scripts, it must use the XLSM extension, which alerts security software and users to potential code execution.

How much smaller is an XLSX file compared to a raw CSV?

An XLSX file is typically 60% to 75% smaller than an uncompressed CSV containing identical text data. This reduction comes from internal Deflate compression and shared string tables that store recurring text entries only once.

How do I open an XLSX file without commercial office software?

You can view and edit XLSX files for free using open-source tools like LibreOffice, web-based spreadsheet services, or browser conversion tools that export the tables directly to CSV or PDF.

Why does my date format change when opening an XLSX file on another computer?

XLSX stores dates internally as serial numbers representing days elapsed since January 1, 1900. Your local operating system regional settings determine how that serial number renders, which can switch formats between MM/DD/YYYY and DD/MM/YYYY.
